# Annual Billing Cycle

> How the annual billing cycle works for institutional access.

## Billing Period

The billing cycle runs annually and concludes each July.

## What happens at the end of the billing period?

* unused seats are removed
* active seats are counted
* institutions are billed for active accounts
* a new PO is requested for the next year

## Before Billing

Institutions may remove learners labelled **Not Started** before billing to avoid charges.

## Example

If 100 seats were available but only 50 learners used them:

✔ 50 seats billed\
✔ unused seats removed\
✔ new PO requested for next cycle

## Why this system works

This flexible model allows institutions to:

* estimate seat needs
* enrol learners throughout the year
* pay only for active users
